All devices within the system must have In Case of Emergency (ICE) Contacts associated with them to receive notifications should a distress signal be received from one of your devices. You can find out more about the emergency notification process here.
During the account creation process the TracPlus team will ask for and assign your initial default and device specific contacts for your account. With each new device we add we will apply the ICE Contacts as advised by you; at any other time you can use My TracPlus to create, edit and assign your contacts.
All ICE contacts must first be added as contacts for your account, however you don't need to have all contacts assigned as emergency contacts at any given time. This gives you the flexibility to adjust contacts as you need based on device location, device use and contact availability. ICE contacts can be applied in 2 ways:
- Default Contacts - 2 SMS and voice contacts that will be automatically applied to any device if no specific contacts are assigned.
- Device specific ICE Contacts - A minimum of 2 SMS and voice contacts that are specifically applied to a given device.
Although we require a minimum of 2 ICE Contacts per device, based on your business needs and requirements we recommend 3-5 contacts where possible for piece of mind should an emergency situation arise.
We also strongly recommend that all contacts are reviewed every 6 months
Viewing and editing your contact list
Click Submit in the bottom right corner to save the contact. If you require multiple contact types for a single contact, each of these will need to be entered separately.
To edit an exiting contact, find the entry in the contact list and left click to open their details.
This will open the contact page for that user, where you will be able to view the details, and either edit to update any details, or delete the contact if they are no longer required.
To update any contacts' details, click Edit Contact, this will open the contact page with all of the current saved details. Make any changes fields that require changes and click Update to save.
To delete an existing contact, click Delete Contact, you will be asked if you are sure. Click Delete to confirm and the contact will be removed.
Adding your default ICE contacts
Creating you Default Contact list is important, as these will be the appended to a device as the ICE Contacts if you don't apply the minimum of 2 SMS and/or voice contacts to a device. Default contacts will be contacted in order when they are assigned to specific assets, so being on this list doesn't mean they will be the emergency contact for any given device. If you add the minimum two voice and/or SMS ICE contacts to a given asset the default contacts will be automatically removed from that Asset's emergency contact list.
Review and assigning ICE contacts on a device
To update the ICE Contacts for a specific device go to ICE Contacts in My Trac Plus.
Click on the name of any device and the In Case of Emergency (ICE) Contact page for that device will open. On this page you can review the contacts for the:
- Send Emergency SMS to
- Send Emergency Email to
- Call In Case of Emergency
Any of the contacts assigned to these sections may be contacted in the event of a distress signal being received from this device depending on your ICE settings. If contacts have been applied from the default list the name will appear inside square brackets to indicate this - [Contact Name]. If there are no brackets, then these have been set manually for this device, even if they are in the default list.
To edit any of the contact lists click the associated Edit button. This will open the edit list for that contact type. Contacts can be adjusted using three methods:
- Drag and drop names from the right-hand side as for adding names to the Default Contact list above.
- Remove all names from the left-hand list to automatically apply the default list.
- Select another Asset form the Copy ICE Contacts for this Asset from the drop down. This will automatically duplicate all of the contacts from the selected asset.
